Obtains license from state/city; orders printed tickets; arranges for volunteer nights to stuff envelopes with letters and tickets to parish and school families; collects tickets and funds; assists with procurement of 10-Week Club prizes; conducts drawings and notifies winners; keeps financial records of events and submits to treasurer.
NEW 2022-23! Builds BidPal site for each event requiring payments; liaises with each event coordinator / chair for event details – pricing, artwork, deadlines, etc. – and with PTA Treasurer to assure payments are correctly processed. Includes Shamrock Gala BidPal site management.
Arranges for venue, CompuScore, on-site medical, volunteers needed; procures swag bag for participants; orders T-shirts – preferably from donor company such as B&E Sportswear or Flynn O’Hara; manages participant sign-up.
Obtains license from state/city; oversees procurement of handbags for event; purchases necessary items like Bingo scorecards and dobbers; issues requests to community for volunteers; books spiritual center through parish.
Communicates to SPS families what donations are needed; monitors collection of donations; arranges turkey purchase and preparation; solicits volunteer staff; secures event decorations; sets up and takes down event; arranges fresh and canned food donations afterward.
Seeks vendor for items to sell and coordinates with school administration date / time / location for sale; coordinates volunteers for the event (helping students / processing sales / wrapping purchases for students); schedules vendor’s shipping to school and return of unsold items; itemizes sales and proceeds, liaises with PTA treasurer on financial end.
Selects and arranges catering for luncheon; solicits volunteer staff; creates SignUp Genius for event; obtains all tableware, flatware, and decorations; sets up and takes down event. Also chairs the separate event of teacher nominations for the ROAR awards. Reviews the submissions with the PTA president(s) and makes a decision on the award winner, which is then approved by school principal. Works with the school treasurer to have the award prepared and presented.

Arranges ice rink rental; keeps track of family registration and payment for event; solicits volunteers to help with registration and refreshments at ice rink.
Skate Night Page
Contracts and makes arrangements for venue, photographer and DJ; keeps track of registration and payment for event, as well as meal selection; selects and provides decorations.
Father/Daughter Dance Page
Selects event; secures group tickets; keeps track of family registration and payment for event.
McCaffrey’s food markets make a generous donation based off of the total amount purchased on receipts collected by the St. Paul school and parish community. The chair calls for and collects receipts on a regular basis, including from church vestibule collection box and from school office, and submits for funds within a time frame set forth by McCaffrey’s.
Everyday Fundraising
Makes exchanges / giveaways available as needed throughout the year, including at the New Family/Ambassador picnic. Reminds community to donate to the exchange; organizes and maintains the closet.
Uniform Exchange
Liases with sportswear company to find SPS logo-printable clothing / blankets / hats; manages orders through BidPal site for various Spirit Wear sales throughout school year
Spirit Wear
Manages Scrip program; promotes and explains program to school community via flyers, in-person demonstrations, etc.; assures online orders are fulfilled, gift cards shipped to school and distributed to purchasers.
Everyday Fundraising
(Kind Inspired Devoted Students) – Coordinates with teachers and students’ grandparents / special persons combined service activities during school year. Manages communication with grandparents / special persons via newsletter/email; works with school / homeroom teachers to schedule in-person events (Masses, student/special persons activity in spiritual center.) Solicits parent volunteers as needed for service events.
Researches and arranges logistical aspect of Shamrock Auction, including communication with event site; arranges on site preparations; secures AV equipment, food and beverage planning, provides timeline for evening; secures auctioneer
Selects and obtains materials to decorate tables, auctioneer's stage, registration table, and silent auction items
Contacts previous advertisers, sponsors and donors in the fall to see if they plan on participating again; seek new advertisers and sponsors for BidPal/program
Contacts previous live auction donors in the fall to see if they plan on donating party again; seeks new big-ticket items
